01 / Terms of service

Bot terms.

These terms explain what to expect when you use the viSTyn Studios Discord bot (the “Bot”). The Bot is provided by viSTyn Studios (“we”, “us”).

1. Who can use it

You must meet Discord’s minimum age and other account requirements. If you add the Bot to a server, you must be authorised to manage that server and grant its permissions. Using a Bot command, button, form or ticket means you agree to these terms. If you do not agree, do not use those features.

2. What the Bot does

The Bot helps viSTyn handle project and store enquiries, private support tickets, order status updates, welcome messages, help links and staff moderation. Some features depend on the server settings and may be unavailable. A ticket or order status is an organisational tool, not a promise that we have accepted a project, delivered a product or received payment.

3. Enquiries, orders & store support

Please provide accurate information that is relevant to your request. Do not put passwords, payment card details, government ID or other sensitive information in tickets. We may ask for more detail before we can help. A quote, commission, payment, digital purchase, delivery date or refund is governed by the terms we agree with you for that work or by the relevant storefront, where applicable. This Bot does not take payments.

Order cards may show your project title, price, target date, notes and status in a server channel chosen by the server administrator. We will configure that channel with access appropriate to client information; contact us if you see information where it should not appear.

4. Acceptable use

Use the Bot lawfully and follow Discord’s Community Guidelines and the rules of the server you are in. Do not spam tickets or commands, impersonate others, harass people, send harmful files or links, attempt to bypass permissions, or interfere with the Bot. You are responsible for the material you submit and must have permission to share it.

5. Staff moderation & access

Authorised viSTyn staff can manage tickets and orders and may warn, timeout, kick, ban or remove messages in our server when needed to run the community. Staff can also keep private notes about support or moderation matters. We may limit access to the Bot or close abusive requests. The applicable server’s own rules and Discord’s rules continue to apply.

6. Availability & changes

We may change, pause or discontinue features for maintenance, security or operational reasons. We aim to keep the Bot useful, but cannot promise uninterrupted service or that a DM or notification will be delivered; Discord settings and availability can affect this. These terms may change as the Bot changes. We will update the date above and give notice of significant changes in our Discord where practical.

7. Responsibility

The Bot is provided with reasonable care. To the extent allowed by law, we are not responsible for loss caused by Discord outages, third party services or misuse outside our reasonable control. Nothing in these terms limits rights or liability that the law does not allow us to limit, including your statutory consumer rights.

8. Relationship with Discord

The Bot is made by viSTyn Studios and is not sponsored or endorsed by Discord. Your use of Discord is separately subject to Discord’s terms and privacy policy. Our terms do not replace those rules.

What the Bot knows.

viSTyn Studios is responsible for the information the Bot collects for its own features. Discord separately processes information through its platform. Questions or requests about our Bot data can be sent to vistynstudios@gmail.com.

1. Information we handle

  • Discord details: account ID, username/display name, server ID, relevant channel and message IDs, and membership events needed to send welcome DMs and run features.
  • Enquiries and tickets: form answers, messages, attachment links and ticket details you choose to submit. At closure, the Bot can create a text transcript, including message authors, timestamps and attachment links, in the configured staff log channel.
  • Orders: client ID, project title, type, quoted price (if any), target date, staff notes, updates and status history. The Bot can send order updates by DM and post an order card in a configured channel.
  • Moderation: warning reasons and staff notes associated with a member, including the staff member’s ID. Discord separately handles timeouts, kicks, bans and deleted messages on its platform.
  • Settings: server configuration such as staff role, channel IDs and links needed to operate the Bot.

The Bot does not request payment card information or need general access to the contents of every server message to run its listed features. Ticket transcripts cover messages inside the ticket channel.

2. Why we use it

We use this information to respond to enquiries, provide support, track requested work, send requested order updates, welcome members and help keep the community safe. For enquiries, orders and support, our usual UK GDPR basis is taking steps at your request before a contract or performing a contract. For community moderation and operating a secure, workable service, our usual basis is our legitimate interests in running the server, balanced against your rights. Where a specific legal obligation applies, we may process information to meet it.

3. Who can see it

viSTyn staff with access to the relevant ticket, order, log or moderation channel can see information posted there. You and anyone a staff member adds to a ticket can see its contents. Server administrators choose the visibility of the configured order and log channels; they should keep client details private. Discord processes information on its own platform under its privacy policy. Our bot host may process the SQLite database and technical files on our behalf. We do not sell your Bot data or use it for unrelated advertising.

4. How long it stays

The current Bot keeps ticket metadata, order records and histories, warning records and staff notes in its database until we review or delete them; it has no automatic expiry built in. Closed ticket channels are removed, but transcripts sent to the configured log channel can remain there until removed. We keep information only while it is needed for support, an active order, reasonable record keeping or a relevant legal obligation. You can ask us to review or erase your information at any time, subject to applicable exceptions. Removing the Bot does not by itself remove past Discord messages or transcript files; we must address those separately. Discord may keep its own copies under its policy.

5. Security & location

We use restricted Discord channel permissions and limit access to our Bot data to people who need it for support and administration. No online service can guarantee absolute security. Discord and our hosting providers may handle information outside the UK; where transfer rules apply, we will follow the relevant legal requirements. Contact us if you have a concern about a ticket’s visibility or a data incident.

6. Your choices & rights

You can stop interacting with the Bot, adjust Discord DM settings or leave the server. You can email us to request access to, correction of or deletion of your Bot data, or to object to or restrict certain use. We may need to confirm your Discord identity before handling a request. Some rights depend on the lawful basis and circumstances; we will explain if an exception applies. To make a request, include your Discord user ID and a way for us to identify the relevant ticket or order if known. Do not email passwords or payment card details.

7. Complaints & changes

Please email us first if something looks wrong. If you are in the UK, you can also raise a data protection concern with the ICO. We will update this notice when the Bot or our handling of information changes and revise the date at the top.
